Terms of Service

Version: 30 October 2026

This version applies from 30 October 2026 to everyone who registers from that day. If you already had an account, it takes effect for you 30 days after we announce it by email (article 34.2); until then the version of 10 October 2026 applies to you.

Part A. General

1. Who we are and how to reach us

1.1 PilotinQ (pilotinq.com) is operated by a company incorporated under Portuguese law. Our company details are on our contact page (pilotinq.com/about#contact). In these terms we call it PilotinQ, we, us or our.

1.2 You can reach us by email at info@pilotinq.com, through the contact form on the website, and by post at the address on our contact page.

1.3 Our single point of contact for authorities of EU Member States, the European Commission, the European Board for Digital Services and for users is info@pilotinq.com. You can write to us in English and Portuguese.

2. Definitions

  • PilotinQ: the platform on pilotinq.com with all related websites, apps, emails and features.
  • User or you: anyone who visits or uses PilotinQ, with or without an account.
  • Consumer: a user acting for purposes outside their trade, business, craft or profession.
  • Account: your personal access to PilotinQ after registration.
  • Pass: paid access for a fixed period to the features described in article 9.
  • Contribution: anything you post or submit on PilotinQ, such as a question, answer, review, message, profile text, photo or correction.
  • AI feature: a feature in which text, a summary, an answer or feedback is created wholly or partly by an artificial intelligence system.
  • School or provider: a flight school, training organisation, simulator centre or other provider shown on PilotinQ.
  • Featured: a paid placement of a school, employer or advertiser, see article 27.

3. Scope

3.1 These terms apply to every use of PilotinQ and to every agreement between you and us made through PilotinQ, such as an account or a Pass.

3.2 Schools, employers and advertisers that buy paid services from us may have separate agreements. If those terms conflict with these terms, the separate terms prevail for that part. Provisions that give you more protection as a consumer always prevail.

3.3 You can read, save and print these terms at pilotinq.com/terms. When you buy a Pass, our confirmation email (your receipt) contains a link to these terms.

3.4 If a provision of these terms is void or annulled, the other provisions remain in force. We will replace it with a valid provision that comes as close as possible to its purpose.

4. What PilotinQ is

4.1 PilotinQ is an English-language knowledge platform for pilots and people who want to become a pilot. You can ask questions and read answers, compare flight schools worldwide, read aviation news, view pilot jobs, and practise for theory exams and airline and flight school selections.

4.2 Reading, asking questions within the daily limit and the free practice sets are free. For unlimited practice and the other features in article 9 you need a Pass.

4.3 Even if you do not pay, you sometimes give us personal data, for example when you create an account or send an inquiry to a school. The rights you have as a consumer for digital services (article 14) then also apply to the free parts, to the extent the law provides.

4.4 We operate other websites as well. PilotinQ is a separate service with its own accounts. An account on PilotinQ does not give access to those other websites, and an account there does not give access to PilotinQ.

4.5 Airline and school names are used to describe their programmes; we are not affiliated with them unless stated.

Part B. Your account

5. Creating an account

5.1 Some features require an account. You create an account with your email address and a password. Your account becomes active when you confirm your email address with the link we send you.

5.2 You must be at least 16 years old to create an account. If the law of the country where you live allows a younger age with the consent of a parent or guardian, you may create an account at that age only with that consent, and never below 13. If you are under 18, you need the consent of a parent or guardian to buy a Pass.

5.3 You use your real name or a recognisable nickname. We do not accept names that look like a test name, a fake name, a brand, a function of PilotinQ or an insult. A nickname must not give the impression that you are someone else, or that you speak on behalf of PilotinQ, a school, an airline or an authority.

5.4 Other users only see your first name or chosen nickname with your contributions, never your last name. On the leaderboard we show your first name or nickname and your score.

5.5 You may have only one account. An account is personal: you may not share, sell or transfer it, and a Pass belongs to one person.

5.6 We may refuse a registration if your email address is temporary or unreachable, or if your name does not meet article 5.3. We will tell you why.

6. Account security

6.1 You keep your password and the login links we email you secret. What happens through your account is your responsibility, unless you have told us that someone else has gained access.

6.2 If you think someone else is using your account, tell us immediately at info@pilotinq.com.

7. Verifying your role

7.1 If you are a student pilot, private pilot or professional pilot, you can have your role verified for the discounts in article 10. You can do this with a work email address, your school, or a photo of your licence.

7.2 A photo of your licence is first read by an AI system, but a member of our staff always makes the decision. We delete the photo immediately after the decision and at the latest after 30 days.

7.3 A verification is valid for 365 days. After that you can renew it. If a check shows that your role is not correct, the benefits you received end immediately.

8. Closing and deleting your account

8.1 You can close your account and have it deleted at any time. Send a message to info@pilotinq.com or use the contact form. A running Pass then ends without a refund for the remaining days, unless you can still exercise your right of withdrawal (article 12) or the law gives you a right to a refund.

8.2 When we delete your account, we erase your profile and your personal data, except what we must keep by law, such as payment records for our accounts. Your public contributions always remain under the name "Former member", so that conversations and answers stay readable and complete (article 18). If a contribution contains personal data about you, such as your own name, your phone number or a photo of yourself, we remove it or make it unrecognisable at your request, in line with the GDPR. To ask for this, email info@pilotinq.com with the link to the contribution.

8.3 How long we keep which data is described in our Privacy Policy.

Part C. The Pass

9. What the Pass is

9.1 The Pass gives you access to the paid features of PilotinQ for a fixed period. You choose from four durations: 1 week (7 days), 1 month (30 days), 3 months (90 days) and 1 year (365 days).

9.2 The Pass is not a subscription. You pay once, the Pass does not renew automatically and ends by itself at the end of its duration.

9.3 While your Pass runs, you can: a. practise with the full question bank for the PPL, CPL, IR and ATPL theory exams, with an explanation for each question; b. practise for airline selections and flight school entrance tests, with practice tests such as aptitude tests, COMPASS-style tests, personality questionnaires and interview practice; c. ask unlimited questions and follow-up questions; d. make unlimited study plans and track your scores and weak areas. The current description is on pilotinq.com/pricing. The description at the time of your purchase is what you buy.

9.4 If you buy a new Pass while your current Pass is still running, we add the new days to the existing end date. You do not lose any days.

10. Prices, currencies, discounts and free features

10.1 Prices are shown on pilotinq.com/pricing. We sell in euro (EUR) and in US dollars (USD). We show the currency that fits your location; you can switch currency before you pay. The price you see at checkout is the price you pay. A price change never applies to a Pass you have already bought.

10.2 Prices in euro include VAT where VAT applies. Prices in US dollars include applicable taxes.

10.3 Discount codes. A discount code is only valid within the durations, dates and quantities that belong to it. A personal code is linked to your email address and cannot be passed on. Discounts cannot be combined: you always get the lowest price among the discounts you are entitled to.

10.4 Role discounts. If you are verified as a student pilot or private pilot, you receive the discount shown on the pricing page.

10.5 Free features. Without a Pass you can use the free features shown on the website, such as one practice set per subject per week. There is no right to these free features. We may change or end them; a running Pass is not affected.

10.6 A Pass we give you for free falls under these terms, except the provisions on payment and withdrawal.

11. Ordering and paying

11.1 You order a Pass by choosing a duration, checking the price and the summary, ticking the box for immediate access (article 12) and clicking the payment button. At that moment you enter into an obligation to pay.

11.2 You pay in advance with one of the payment methods offered at checkout: card, Apple Pay, Google Pay or PayPal, and for payments in euro also iDEAL or Bancontact. Payments are processed by Stripe. We do not see or store card details.

11.3 The agreement is concluded when your payment succeeds. Your Pass is then activated immediately and we send you a confirmation email that is your receipt, with the duration, the price, your consent to immediate access under article 12 (with the date, time and text you agreed to) and a link to these terms.

11.4 We may refuse an order or withdraw a Pass in case of fraud, misuse of discount codes or an obvious pricing error. If we have already been paid, we refund the amount.

12. Right of withdrawal

12.1 If you buy a Pass as a consumer, you may withdraw from the purchase within 14 days without giving a reason. That period starts on the day after your purchase.

12.2 Because you want your Pass to work immediately, we ask you at checkout, with a tick box, to expressly agree that your Pass starts immediately. You cannot pay without ticking that box. If you then withdraw within 14 days, you pay an amount proportionate to the number of days your Pass was active, calculated over the duration you bought. We refund the rest.

12.3 If the duration of your Pass has already ended when you withdraw, as with a 1-week Pass, your Pass was active for its full duration and there is nothing to refund.

12.4 You withdraw by telling us clearly within 14 days, by email to info@pilotinq.com or with the model form at the end of these terms. We confirm your withdrawal by email.

12.5 We refund within 14 days of your withdrawal, using the same payment method you used. Your Pass ends on the day of your withdrawal.

12.6 We offer this right of withdrawal to all consumers, wherever they live.

13. End of your Pass

13.1 We send you a reminder before your Pass ends. You can switch off these reminders in your notification settings.

13.2 You renew yourself, by buying a new Pass. Nothing is ever charged automatically.

13.3 After your Pass ends, your account, your progress and your scores are kept. You keep access to the free features.

14. Quality of the digital services and complaints about them

14.1 We make sure that PilotinQ and the Pass do what you may expect based on the description and the law. This includes providing the updates needed to keep the service working properly and securely.

14.2 If the Pass does not work as it should, tell us. We will fix it within a reasonable time and free of charge. If that is not possible, or if the defect is serious, you are entitled to a price reduction or you can terminate the agreement and receive a refund in proportion to the remaining duration.

14.3 Your statutory rights in case of a defect always remain in force. This article does not limit them.

15. Fair use

15.1 Unlimited means unlimited for normal personal use. To keep the service good for everyone, technical limits apply, such as a maximum number of new practice questions per day and a daily maximum for AI features such as interview practice.

15.2 You may not automatically read, copy or collect content from PilotinQ with scrapers, bots or other tools, and you may not copy, distribute or sell the question bank in whole or in part.

Part D. Contributions

16. Posting contributions

16.1 You can ask questions, report errors in answers and, where available, write reviews of schools.

16.2 A review of a school is based on your own experience. Every review is checked by us before it appears. We show your first name with your review, never your email address.

16.3 You are responsible for your contributions. You warrant that you have the right to post them and that they do not infringe the rights of others.

17. House rules

It is not allowed to: a. insult, threaten, harass or discriminate against others; b. post personal data of others without their consent; c. spread information you know to be untrue, certainly not about flight safety; d. advertise or promote commercial providers without making that clear; e. write reviews of a school where you work or with which you have a business relationship, or write reviews for payment; f. pretend to be someone else, or a representative of PilotinQ, a school, an airline or an authority; g. post content that infringes copyright or other rights, such as full articles, exam questions or selection material you do not have the rights to; h. share exam or selection questions that are subject to confidentiality; i. post spam; j. post content that is against the law; k. disrupt or bypass the security or operation of PilotinQ, or use multiple accounts to get around limits or measures.

18. Licence to your contributions

18.1 You remain the owner of your contributions. By posting a contribution you give us a non-exclusive, worldwide, royalty-free, transferable, perpetual and irrevocable licence to use, store, show, distribute, translate, shorten, summarise and edit it for PilotinQ and for promoting it.

18.2 This includes using your contribution, or facts and experiences from it, as a source for answers in the knowledge base, and to train, test and improve our own AI features.

18.3 If you do not want us to use your contributions to train our AI features, tell us at info@pilotinq.com. From then on we no longer use your contributions for that purpose. What has already been processed cannot always be undone.

18.4 The licence is perpetual and irrevocable. It continues to apply after you close your account or have it deleted, for all your contributions and for what has been processed from them in the knowledge base. Your right to have personal data removed from a contribution (article 8.2) and your choice under 18.3 remain in force.

19. Moderation, reporting and complaints about moderation

19.1 We may check contributions, and refuse, hide, shorten, remove or reduce the visibility of a contribution that is against the law or these terms. We use human moderators and automated tools. A decision to permanently remove a contribution or block an account is always taken by a person.

19.2 If we take action against your contribution or account, we tell you the reason, the rule we rely on, whether the decision was automated and how you can object.

19.3 If you see content on PilotinQ that you believe is illegal or against these terms, report it with the report button or by email to info@pilotinq.com. State the link, why you think it is illegal or breaks the rules, and your name and email address. We confirm your report, assess it carefully and tell you what we decided.

19.4 If you disagree with a decision about your contribution, your account or your report, you can object free of charge within six months by email to info@pilotinq.com. A staff member who was not involved in the first decision reviews your objection. You can also take the dispute to a certified out-of-court dispute settlement body or to court.

19.5 We are responsible for moderation on PilotinQ. When a report (article 19.3) tells us about illegal content, we remove it promptly.

20. Measures in case of misuse

20.1 If you act against the law or these terms, or if we have strong indications of fraud, spam or misuse, we may, depending on the seriousness: give you a warning; hide or remove contributions; temporarily restrict you; suspend or block your account; or end your account.

20.2 If we block your account because of a serious or repeated violation, a running Pass ends without a refund, except where the law gives you a right to a refund.

Part E. Information and services of others

21. AI features

21.1 PilotinQ uses AI features. Answers to questions are written by an AI system, currently Google Gemini, based on the sources we show with the answer and on our own aviation knowledge base. We show where an answer comes from. Summaries of job listings and some texts about schools are also made with the help of AI.

21.2 Interview practice is a practice conversation with an AI interviewer. Your answers and the feedback are stored in your account so you can see your progress. They are for your own practice; we do not use them to assess you for a real selection.

21.3 AI systems can make mistakes, give outdated information or summarise something incorrectly, even when an answer sounds certain. We aim for accuracy, but AI answers, feedback and summaries can be incorrect, incomplete or out of date. Confirm important information with the relevant authority or source.

21.4 We store the questions you ask in order to show the answer and to improve the knowledge base. An answer to a question may be published as a public page, without your name. Do not put personal data or confidential information in your question.

21.5 If you think an answer is wrong, use the button to report it. We investigate and correct the answer where needed.

22. No regulatory, aviation, medical or operational advice

22.1 Everything on PilotinQ is general information and practice material. It is not regulatory advice and not operational advice, and it does not replace primary sources, your approved training organisation (ATO), your flight instructor, your examiner, your aviation authority or an aeromedical examiner (AME).

22.2 Never use PilotinQ as a source for decisions when preparing or conducting a flight. For weather, NOTAMs, airspace, procedures, performance and regulations, use only current primary sources, such as the AIP, NOTAMs, a weather briefing from an authorised provider, the manual of your aircraft and the rules of your aviation authority (for example EASA, the UK CAA or the FAA).

22.3 Information about medical certificates, medication and health is not medical advice. For questions about your own situation, contact an AME or an aeromedical centre.

23. Practice questions and tests

23.1 The practice questions and practice tests on PilotinQ are written or compiled by us and our licensors to help you prepare. They are not exam questions of any aviation authority, and they are not the actual tests of any airline, school or assessment provider. We have no affiliation with those authorities, airlines or providers unless we say so explicitly.

23.2 We cannot promise that you will pass an exam, assessment or selection; the questions and tests can differ from those in real exams or selections. Syllabi, requirements and costs change; confirm them with the source.

24. Knowledge base, news and sources

24.1 Our editorial team compiles the knowledge base and the news based on sources. We use AI tools for this; the editorial team is responsible for what we publish.

24.2 We aim for accuracy and keep everything up to date as well as we can; errors can occur. If you see an error, report it with the button at the article.

24.3 Links to websites of others are a service to you. We are not responsible for the content of those websites.

25. Flight school directory, reviews and ranking

25.1 The flight school directory shows schools and courses worldwide, with data from public sources, such as school websites and public registers of aviation authorities, and data that schools provide themselves. Where data that we collected has not yet been confirmed by the school, such as prices, we say so. Confirm prices and conditions with the school.

25.2 A school can claim and manage its page after verification. Changes to name, address, website and approval number are checked by us first.

25.3 Ranking. In overviews and search results we determine the order based on your search query, your location or region filter and the filters you choose. Schools can pay for a more prominent place. Those places are always marked "Featured". Payment has no influence on the content of answers.

25.4 Reviews. We check every review before we publish it, with a person and with signals that point to fake reviews. We cannot establish for every review that the writer actually attended the school. We do not remove reviews because they are negative. Schools can respond to a review and report a review to us; we then decide.

25.5 For schools. A school claims and manages its page free of charge, with no fee per inquiry and no invoice. Whoever claims a page declares to be authorised to act on behalf of the school, keeps the data correct and up to date and answers inquiries itself. A school only pays if it chooses a paid placement (Featured).

26. Inquiries to schools

26.1 Through PilotinQ you can send an inquiry to a school, for example for a trial lesson or information about a course. We forward your inquiry to the school or schools you choose, or, if you ask for it, to up to three schools that match your request. We tell you in advance which schools receive your data.

26.2 We do not sell flight lessons ourselves and we charge you nothing. You make the agreement about the lesson or course with the school. The school is responsible for the lesson, safety, price, payment, cancellation and its own terms.

26.3 Schools do not pay us a fee per inquiry. A school can pay for a more prominent place (Featured); an inquiry through the page of such a school goes only to that school.

27. Featured placements, advertising and sponsored content

27.1 PilotinQ shows advertisements from others and from our own services. Every paid placement, whether from a school, an employer or an advertiser, is shown as "Featured".

27.2 We sometimes use affiliate links: if you buy something through such a link, we receive a commission.

27.3 We do not show advertisements on pages about accidents, during login, during checkout or in your personal progress pages. We do not show certain categories of advertising to users who may be under 18.

28. Jobs

28.1 Job listings on PilotinQ come from the websites of employers and job sites, or are provided by employers. The summary is made by us, with the help of AI, and may differ from the original text. The original listing and the employer are leading.

28.2 You apply directly to the employer, through the link with the listing. We are not an employer or a recruitment agency, and we are not involved in the selection.

28.3 Paid job listings are marked "Featured".

Part F. Final provisions

29. Intellectual property

29.1 All rights to PilotinQ, including the software, design, brand name and logo, editorial texts, explanations, practice questions, practice tests and the database, belong to us or our licensors. We are the maker of the databases on PilotinQ, including the collection of all contributions, the knowledge base and the question bank. The database right in them (the sui generis right under EU Directive 96/9/EC on the legal protection of databases) belongs to us.

29.2 You may use PilotinQ for personal, non-commercial use. You may share a link to a page and use a short quote with attribution. Any other use requires our written permission. This applies in particular to the question bank (article 15.2).

29.3 If you think something on PilotinQ infringes your rights, report it under article 19.3.

30. Availability and changes to the service

30.1 We aim to keep PilotinQ available at all times; interruptions and errors can occur.

30.2 We develop PilotinQ continuously. We may add, change or end features. If a change affects a running Pass negatively and more than only slightly, we tell you at least 30 days in advance. You can then end the Pass free of charge and receive a refund in proportion to the remaining duration.

30.3 We may end PilotinQ. We tell you at least 60 days in advance and refund the part of a running Pass you can no longer use.

31. Liability

31.1 We are liable for damage that is the direct result of a failure on our part, to the extent provided by law.

31.2 If we are liable, our liability is limited to the amount you paid us in the twelve months before the event, with a minimum of EUR 100.

31.3 We are not liable for damage caused by using information from PilotinQ when flying, for medical decisions or for decisions about training or a career (article 22), for damage caused by the services of schools, employers or advertisers, or for contributions of other users.

31.4 The limitations in this article do not apply if the damage was caused by intent or gross negligence on our part or that of our managers, in case of death or personal injury, and not to the extent mandatory law does not allow it. Your statutory rights in case of a defect in a digital service always remain in force.

32. Force majeure

If we cannot meet our obligations due to circumstances we cannot reasonably control, such as a major outage at a hosting or payment provider, a cyber attack we could not prevent with reasonable security, or a government measure, we are not in breach for that period. If force majeure lasts longer than 30 days, you may end your Pass and receive a refund in proportion to the remaining duration.

33. Privacy

How we handle your personal data is described in our Privacy Policy. We are the controller.

34. Changes to these terms

34.1 We may change these terms, for example for new features or new rules.

34.2 We announce a material change at least 30 days before it takes effect, by email and with a notice on PilotinQ. If you do not agree, you can close your account. A change never applies retroactively and never changes what you get with a Pass you have already bought, unless it is in your favour or the law requires it.

34.3 We keep previous versions of these terms; you can request them from us.

35. Complaints and disputes

35.1 If you have a complaint about PilotinQ, the Pass or us, send it to info@pilotinq.com. You will receive a substantive reply within 14 days. If we need more time, we tell you within those 14 days, with the period within which you will receive an answer.

35.2 If we cannot resolve it together, you can as a consumer submit your complaint to a recognised alternative dispute resolution body. In Portugal this includes CNIACC, Centro Nacional de Informação e Arbitragem de Conflitos de Consumo (www.cniacc.pt). The list of recognised bodies is at www.consumidor.gov.pt.

35.3 If you live in another EU country, the European Consumer Centre in your country can help you free of charge with a cross-border dispute. In the United Kingdom you can contact Citizens Advice.

35.4 The European ODR platform for online disputes no longer exists since 20 July 2025.

35.5 You can always take a dispute to the competent court (article 36).

36. Governing law and competent court

36.1 These terms and every agreement between you and us are governed by Portuguese law.

36.2 If you are a consumer and live in another country, you always keep the protection of the mandatory provisions of the law of the country where you live (article 6 of the Rome I Regulation, and comparable rules in the United Kingdom). This choice of law can never take that protection away from you.

36.3 A dispute is submitted to the court that has jurisdiction under the law. As a consumer you can always bring proceedings before the court of the place where you live, and we can only sue you there.

37. Other provisions

37.1 These terms are written in English. If a translation exists, the English text prevails in case of differences, unless that is less favourable to you.

37.2 We may transfer our rights and obligations under an agreement with you to another company that continues PilotinQ, provided your rights are not reduced. We tell you in advance; you can then close your account and receive a refund of the unused part of your Pass.

37.3 If we do not exercise a right at some point, that does not mean we waive it.

Annex. Model withdrawal form

Complete and return this form only if you wish to withdraw from the contract (article 12). You may use it, but you do not have to: a clear email to info@pilotinq.com is also fine.

2. Definitions
